Send posts to clients or external users for approval using the Shared Calendar!

The Agorapulse Shared Calendar allows you to create social media content and share it with users that don't have access to Agorapulse. These users can view the scheduled content you assign to them, accept or reject it, add comments, and reassign the post to the creator. Typically, this works well if you are an agency who has one or more clients that need to review content published on their behalf.

How to create a Shared Calendar

In order to send posts to clients or external collaborators for review, you first need to create a Shared Calendar.

Note: Only users with the Owner or Manager role can create Shared Calendars.


To create a Shared Calendar:

1. Navigate to the Organization settings and select the
2. Select the Shared calendars sub-menu
3. Click on the Create a shared calendar button (or + Create)

You will then fill in all the required fields:

  • Calendar name (your client will be able to see it)

  • Name and email of users who will have access to this Shared Calendar

  • Select the social profiles associated to this Shared Calendar (what profiles will your collaborators need to posts from)

  • When you're done, click Save

Note: All users added to a given Shared Calendar will have access to the content shared in this calendar. If you have multiple clients, it's recommended to set up multiple shared calendars.


How to share a Shared Calendar

There are two ways to invite external users to collaborate on your Shared Calendar: via email invitation and via shared link.

Email Invitation

After adding the names and emails of your intended external users in the Shared calendar settings, you can send an email invitation by clicking on the button below (next to the user's details):

The invited user will receive an email with a dedicated link to access the Shared Calendar. There is no need for them to log in with a username and password, just simply follow the link!

Please Note: These links contain individual tokens that are only valid for 60 days. After that, the user will have to validate themselves for security purposes.


Sharing a Link

You can also share a custom link to your Shared Calendar. Within the Shared calendar settings, you will see the option to Copy link:


After the external user follows this link, they will land on the screen below.

Once they select their name, they will be sent a login link to their email address.



Can I customize the Shared Calendar?

The Shared Calendar is automatically configured with Agorapulse branding. Agencies or organizations that want to implement their own branding in the Shared Calendar may utilize customization within the Shared calendar settings. While full white labelling of the Shared Calendar is not available, we will outline what can be customized below.

Please Note: The ability to customize the Shared Calendar is only available to users on a Tailored plan. If you would like to change your plan to access this feature, feel free reach out to us here.


You may customize the appearance Shared Calendar by adding a:

  • Logo

  • Calendar Name

  • Calendar Description

  • Customized Color Scheme


How to enable Shared Calendar Customization

While in the Shared calendar settings:

1. Select a Shared Calendar (or + Create)

2. Scroll down to the bottom of the settings
3. Toggle Shared Calendar Customization on

What does the customized Shared Calendar look like?

Both the Shared Calendar and all email notifications for the Shared Calendar will be customized according to your specifications.

What do external users see in the Shared Calendar?

Once a person has access to a given Shared Calendar, they will be able to see all posts included in this calendar, including those not assigned directly to them.

Shared Calendar users will not be able to see:

  • Queued posts

  • Draft posts

  • Groups of posts that include a profile not added in the Shared Calendar settings

Note: You can use our Split posts feature to create a group of posts, but separate them by profile. This will allow external users to see posts on profiles they have access to. You can find out how to split posts in this article.


How can clients/external users view the Shared Calendar

In the email invitation, users can click on the See Content button to access the Shared Calendar.


This will direct the user to the Calendar view, allowing them to see all scheduled posts.

Users may click directly on a post and choose to leave a comment or request changes. You can see how to do both in the GIF below:

Please Note: Once a comment is made, all assigned external users and the post creator are notified.

Additional Note: If changes are requested, the status of the post will change to Rejected. This means if no action is taken, the post will not be published.

How can clients/external users review a post

If you assign a post to a client or external user to review, they will receive a notification:

Once the user selects Open Calendar and is re-directed to Agorapulse, a pop-up will appear advising them that there is a post to review.


After the user selects Review this post group, they will be given the option to:

  • Leave a comment

  • Request changes

  • Approve

If the post has been Approved, it will continue to publish as scheduled.
