Inbox Management Explained

Agorapulse provides a variety of different features that allow you to keep your inbox as user friendly as possible. Below you will find a list of actions you can take within the Inbox, along with any limitations pertaining to each network.

Note: To access the Inbox for X (Twitter), you will need the X-Plus add-on. You can read more about that here.


Automatic translation

If your audience is global, you might receive a comment in a foreign language you or your teammates do not speak. With Agorapulse, you can translate any comment in a few clicks.

Click the [...] button on the right hand side of the comment and then chose See translation.

Please Note: This feature is not available on the Free plan.


Reply

You can reply to comments and messages in your inbox. Simply click on the reply box below the comment/message you wish to reply to. There are several options for helping you create your reply. You can use these by clicking the relevant button below the reply box:

  • Saved replies - clicking this button allows you to use an existing saved reply or create a new one. You can read more about our saved replies feature here.

  • Emoji picker - you can choose from a range of emojis to elevate your reply

  • Upload photo - add an image to your comment

  • Add a GIF - use our GIPHY integration to add fun to your replies

You can reply in private to your comment. Simply click on the dropdown arrow beside the send button and choose Send in Private.

Note: This option is only available for Facebook, Instagram and X (Twitter). If a user engages with you via private message, you will find the option to leave an internal note or Reply to the user. Notes are only visible to your team in Agorapulse. In the reply box click on Note tab, enter your message and press Add a note. Notes will appear in yellow in the conversation.

Note: Due to API limitation we are not able to support TikTok or LinkedIn private messages.


Review

Your Inbox view automatically defaults to show Items to be reviewed. To view items that have already been reviewed, you change the view to All. To view items assigned to a specific user, select the Assigned tab.

To review items in in the To Review section there are 2 options:


1. Hover your mouse over any comment and click the Review icon to ensure other team members know that this item has been handled and didn't slip through the cracks.


2. You can also bulk review the selection of items altogether. Click the selection box next to each item you want to review, then press the review icon. You may also choose to Review all.


Label

You can label any item for easy identification - click on an item, Click Add label below the reply field and type in/select label(s). You can also click Create new label if the label you want to use is not already in your list.

Once you have applied labels to Inbox items, you can click the Filters button to view only the items that have a specific label applied.

Allowed characters for labels usage:

  • lowercase and uppercase characters

  • space

  • colon :

  • asterisk *

  • slash / and backslash \

  • dash -

  • plus sign +

  • underscore _

  • at sign @

  • hashtag sign #

  • and sign / ampersand &

You can remove a label in the same place where you add them - just click the X next to the label name.

Assign

You can assign comments or messages to a team member by clicking on the item, and then selecting the Assign icon. You will then see a note "Assigned to {name of the admin}" below the item.

You can also add an optional note when assigning an item. This could be useful for internal communication among team members. It is only possible to assign Inbox items to one team member at a time.

Once the content has been assigned, the team member will receive an instant notification email informing them a comment has been assigned to them. A message will also appear at the top of the Inbox when the team member logs in to notify them of assigned items.​

You can identify assigned items in the Inbox based on the yellow banner.

Note: The ability to assign Inbox items is available depending on the subscription plan you have. If you would like to change your plan to access this feature, feel free reach out to us here.

If you’re the only administrator of a given account, this option won’t be available for you.


Like

You can like comments in 2 ways. You can click the 'heart' icon in the left hand menu, or click the Like option on the comment itself in the main Inbox pane. You can undo the like action anytime by hitting the same icon again.

Please note:

  • Unfortunately, due to API restrictions, it's not possible to like Instagram comments with a 3rd party tool, like Agorapulse.

  • It is also not possible to Like YouTube comments in Agorapulse.

You can use our handy View on [network] link to like the comment directly on the social network.


Hide

Comments can be hidden by clicking the Hide icon on the comment.

Hiding Facebook comments

You can easily hide posts or comments from your Page. Simply click the Hide button.

You can undo the Hide action anytime - just click the Unhide icon.

Hiding Instagram comments

You can hide a comment from Instagram - hidden comments won't be visible to other Instagram users, however, the author of the comment will still be able to see it.

Hiding TikTok comments

You can easily hide comments. Simply click the Hide button. You can undo the Hide action anytime - just click the same button again.

Hiding YouTube comments

It's not possible to hide comments held for review - you can accept/reject them, or report them as spam.

Note: It is not possible to hide LinkedIn comments or Tweets


Delete

IMPORTANT NOTE: The delete action is permanent, meaning it's irreversible. This is why we put the confirmation pop-up when removing an item, to ensure you are 100% confident you wish to remove that item.

To delete any item simply click the item you want to delete and click on Delete (or trashcan) icon. You will be asked to confirm your action.

Deleting Facebook Private Messages or Instagram DMs

You can also delete a private message or DM - either a single message or an entire conversation thread. This will remove the message(s) from Agorapulse only - nothing will be deleted from Facebook or Instagram.

Deleting LinkedIn comments

In compliance with LinkedIn ToS, we remove the deleted item from Agorapulse completely - you won't be able to find it anymore in the Inbox.

Deleting Youtube comments

It is not possible to delete users' comments on YouTube, it is only possible to hide them. However, you can delete your own (channel's) comments. So, for example, if you reply to a user comment - you will be able to hide this user comment, but not delete it, but you will be able to delete your own reply.

Deleting Tweets

You will have the option to delete your own tweet from the inbox, but it will not be possible to delete tweets from other users. You can simply click the trashcan icon 🗑️ and confirm the request.

This action will remove the tweet from Agorapulse, as well as from Twitter. It cannot be undone.

Note: It is not possible to delete TikTok comments. You can easily delete a comment by clicking View on TikTok to open the video natively so that you can choose the Delete option.


Repost (on X)

To repost a tweet, simply click on it and hit the Repost 🔁 icon. You can undo this by clicking on the button again.


Report as spam (on YouTube)

You can report users' comments as spam, which basically hides these comments from YouTube. You can undo this action anytime.
